    PA - Bournemouth SALARY: £21,000 - £23,000 Per Annum

    My client are looking for an experienced PA to contribute towards the effective running of their Bournemouth office through the continuity of support and provision of a high quality secretarial service to the Managers, ensuring that daily demands and deadlines are met.

    To provide specific support to two Managers with regards to diary management, expenses etc.

    To work collaboratively as part of the Secretarial team, ensuring that workload is distributed evenly across the team.

    Provide timely and accurate audio and general copy typing for the team

    Answer the phone, take messages and transfer calls as necessary

    Set up new client details as necessary

    Liaise with the appropriate department in respect of all admin queries and amendments to client information

    Filing, faxing, photocopying, scanning and sorting of post

    Assist with the preparation, checking and distribution of Valuation Reports to clients

    Complete mail shots as required

    Welcome clients and visitors on behalf of the Investment Management teams

    General administration duties to give assistance, continuity and support to the team on a timely basis

    Ensure all activities/actions undertaken meet and comply with compliance standards, including Suitability, KYC, FATCA etc.

    Liaise professionally with clients and intermediaries as required

    Prepare timely responses to incoming correspondence and emails as requested

    Keep abreast of operational and administrative procedures

    Organise video conferences between offices and external contacts

    Diary management, organising meetings and processing of expenses for one Investment Manager

    Cover and support for other secretaries within the secretarial team

    The successful candidate will be able to demonstrate strong verbal and written communication skills, with a good client facing manner. They should have good time management skills, be able to work to deadlines in a calm, methodical and professional manner, and work on their own initiative when required.

    The successful candidate will have a flexible attitude to work in response to changing workloads and deadlines within the teams. They must be able to work collaboratively and be prepared to help out others when workloads dictate. They should be prepared to share knowledge and suggest improvements if required.

    Reliability, enthusiasm, initiative, self-motivation and integrity are essential characteristics.
